What you need to get started, and how scheduling and reminders work.

Can we schedule more than private lessons?

Yes. Use the calendar for practices, camps, clinics, tryouts, open gyms, rentals, and closures. Choose which courts each activity uses, add a buffer, and repeat weekly when needed. These entries protect those courts from lesson bookings. Event registration and ticketing are separate from scheduling court time.

Can we put the calendar on our website?

Yes. Enable your website calendar in the club dashboard, choose lesson booking or a public schedule, and copy the embed code into your website. You can show all courts, one court, or public events only. Families can browse lessons by time or coach, then finish their request in a secure new tab. Internal notes, parent details, and private contact information are never part of the public schedule.

What do we need to get started?

Start with one club contact, a list of your courts, and your coach roster. We’ll need coach names, email addresses, and any levels or specialties you want families to see. Bring your current court schedule and lesson rules—like standard lesson length, available hours, practice buffers, and blackout dates. You don’t need to have everything perfectly organized. We’ll work through setup with you before opening booking to families.

How are our court calendars organized?

Tell us how many courts you have and choose your weekly lesson hours. Bump Set Book creates a built-in calendar for each court, all managed together in one screen. View the whole club’s schedule or focus on a single court. Add practices, events, rentals, and closures to keep lesson availability accurate. An open court time lets a family request a coach; the coach still needs to accept the lesson.

Can we use a template or get help with our calendar?

Yes. The calendar builder creates your courts and up to 12 weeks of shared lesson hours in a few steps. Use templates for lesson hours, events, and blocked time, then select the courts and dates. We can help with setup, or you can start with the worksheet below. The worksheet is for planning; the builder creates the calendars.

Can you help set up our coach profiles?

Absolutely. Send us a spreadsheet or a link to your club’s staff page, and we’ll help bring your coach information into Bump Set Book. We work with one club contact to review the roster, fill in any gaps, and get everything ready. Your coaches don’t need to create their own profiles or manage setup.

How do automatic checks and human approval work?

Families choose an open court time and an eligible coach. The coach accepts or declines the request. Your club can turn final administrator approval on or off in Booking rules. With it off, coach acceptance confirms the lesson after availability is checked again. With it on, an administrator gives final approval. An open court alone never confirms a lesson.

Do coaches need to publish their availability?

No. Your club publishes court hours and manages the coach roster. Families can request an eligible coach at an open court time, and the coach accepts or declines from their dashboard or an email link. Coaches don’t need to maintain a separate availability calendar.

Do families get texts, emails, or both?

Email provides request updates, confirmations, and reminders, with the coach, location, payment instructions, and a link to the lesson details. Text messaging is planned and is not currently live. Families can manage their email reminder preferences in their account.

When do lesson reminders go out?

Email reminders are scheduled for 24 hours and two hours before a confirmed lesson when there is enough notice. Families can adjust their reminder preferences. Cancelled lessons and reservations replaced by a reschedule do not receive old reminders.

What happens when plans change?

Parents and club administrators can request a new time for a confirmed lesson. The original stays booked until the coach accepts and any required administrator approval is complete. Declining or withdrawing the change leaves the original lesson booked. Staff can also edit individual court hours and event entries directly. Payments, refunds, and changes to external Google calendars are handled separately.

Do we have to switch how families pay?

No. Keep Oasys, Venmo, or your current payment method. Add payment instructions and an optional payment link for families to use after confirmation. Bump Set Book does not collect or verify lesson payments in the club booking flow. Arrange any payment changes or refunds directly with the club or coach.

Do we need an external calendar to get started?

No. Create your courts and build your schedule directly in Bump Set Book. Lessons, practices, events, and blocked time are managed here, so your team has one place to keep everything up to date. No Google Calendar account or calendar import is required.
