Start with Google Calendar. We’ll help map your courts, lesson hours, and scheduling rules during onboarding.
2. Share your coach roster
Send a spreadsheet or staff-page link. We’ll work with your club contact to set up coach profiles and lesson availability.
3. Review the match and approve
We check court and coach availability and send the results to your approver. Your club makes the final call; everyone gets the update.

What you need to get started, and how scheduling and reminders work.
What do we need to get started?
Start with one club contact, a list of your courts, and your coach roster. We’ll need coach names, email addresses, mobile numbers, and any levels or specialties you want families to see. Bring your current court schedule and lesson rules—like available hours, practice buffers, and blackout dates. You don’t need to have everything perfectly organized. We’ll work through setup with you before opening booking to families.
Do we need Google Calendar—and how many calendars?
Google Calendar is our recommended starting point, and we can help you set it up. You don’t need a separate Google account for every court. One calendar per court is a clear way to start, with all calendars managed by the same club account. Already using a combined calendar? Keep it for now—we’ll review how each event identifies the courts it uses. The key is that practices, lessons, rentals, and other reservations are kept up to date. Coach availability is handled separately from court availability.
Can we use a template or get help with our calendar?
Absolutely. Use our court setup worksheet to list each facility, court, calendar, and any lesson restrictions. Open it in Google Sheets or Excel, fill in what you know, and we’ll help with the rest. It’s a setup worksheet, so it won’t add events or change your existing calendar. If you don’t have a Google Calendar yet, we’ll help choose a simple structure—or discuss using the built-in calendar. There’s no need to rebuild your schedule before talking with us.

Absolutely. Send us a spreadsheet or a link to your club’s staff page, and we’ll help bring your coach information into Bump Set Book. We work with one club contact to review the roster, fill in any gaps, and get everything ready. Your coaches don’t need to create their own profiles or manage setup.
How do automatic checks and human approval work?
We automatically check your court calendar, lesson rules, and the coach’s published availability, then send your approver the request with what we found. Your approver reviews the match and approves it or suggests another time. The family and coach get the decision, so nobody has to guess whether the lesson is confirmed.
What if a coach’s availability isn’t listed?
We flag the missing availability for a person to confirm. Staff can contact a coach and offer a confirmed time to the family. An empty calendar isn’t treated as permission to book a coach.
Do families get texts, emails, or both?
Opt-in texts cover confirmations, reminders, and changes, with a link to the full lesson details. Email keeps the coach, location, payment instructions, and request link together. Families choose text, email, or both for reminders.

A day-before reminder helps families plan, and a two-hour heads-up helps them leave on time. Reminders only go out for approved lessons, with enough notice. Families can adjust their reminder preferences, with quiet hours and easy opt-outs.
What happens when plans change?
If a time doesn’t work, the club can suggest an alternative for the family to review and request. A cancellation notifies the people involved and stops old reminders. Club staff still release the court in an external calendar, and any payment or refund stays with the club or coach.
How does this work with our Google Calendar?
We help map your courts, lesson hours, and scheduling rules during onboarding. In the pilot, we read your public Google court calendars for availability. Your approver confirms and reserves the court in Google before approving the lesson. Automatic Google reservation updates aren’t included yet.
